How the Reference Checking Tool Works

Run consistent pre employment reference checks through a structured and secure workflow, from job creation to the completed reference record.

1

Create Job & Add Candidate

Start by creating the job role, then add candidate details and link them to that job so everything stays together.

2

Collect & Send Reference Requests

Add referees manually or email the candidate a secure link so they can provide referee details themselves. The reference request software then sends branded forms and supports automated reference checks with optional automatic reminders.

3

Use Custom Forms & Branding

Create your own reference check forms (up to 25 questions) or start with the default templates. Apply your company colours and logo so every form and email matches your brand.

Reference Checking Software Features

Structured Candidate Management

Keep job, candidate and referee information organised in one central system. Instantly see which checks are outstanding, in progress or completed across your organisation.

Custom Verification Forms

Create your own reference-check forms with up to 25 questions. Add plain text responses, dropdown selections, checkboxes or 1–5 rating questions to match your safeguarding and compliance requirements.

Custom Branding

Apply your own logo, colour scheme and organisation branding to reference forms and emails so every communication matches your visual identity and builds trust with referees.

Multi-User Access & Roles

Add multiple users to your app and control what each person can see and do. Assign permissions using Standard, Basic, Custom 1 and Custom 2 roles so a system admin can safely manage access to candidates, forms, branding and settings.

Automated Reminders

Configure automatic email reminders (for example after 1, 4 and 7 days) so referees are prompted to respond without increasing your administrative workload.

Security & Privacy

Candidate and referee contact details are stored securely with encryption. Referees access forms via secure tokenised links and do not need to sign in to the system.

Audit Trail & Compliance

Every request, reminder and response is recorded with clear timestamps. Export records to support regulated hiring processes, Ofsted or CQC inspections and internal compliance audits.
