View Candidate — End-User Help
Overview
This page allows you to view and update a candidate’s profile.
Use it to maintain personal details, contact information, job assignment, profile information, compensation details, sourcing links, pipeline status, compliance settings, and data-retention preferences. These details help keep candidate records accurate and support the reference-check process.
Quick start
- Confirm that the candidate shown at the top of the page is the correct person.
- Update the fields you need, such as name, job, email, phone, city, or status.
- Use the job field to link the candidate to an existing open job, or add a new job without leaving the page.
- Click Update to save your changes.
- Click Cancel if you want to leave without saving.
What each section does
Personal
This section stores the candidate’s main identity details, including:
- Title
- First Name
- Last Name
- Date of Birth
First Name and Last Name are required.
Assignment / Job
This section is used to associate the candidate with a role.
You can:
- search for an existing open job
- select a matching job from the list
- add a new job if the one you need does not already exist
This helps keep the candidate linked to the correct vacancy.
Contact
This section stores the candidate’s contact details, including:
A valid email address is important for communication and related workflows.
Profile & Location
This section captures the candidate’s background and availability, such as:
- City
- Country
- Current Job Title
- Current Employer
- Experience
- Work Mode
- Availability Date
- Notice Period
Compensation
This section records salary-related information, including:
- Currency
- Current Salary
- Expected Salary
Use a consistent format across all candidate records.
Sourcing & Links
This section records where the candidate came from and stores useful profile links, such as:
- Source
- LinkedIn URL
- Website URL
Where possible, enter full website addresses.
Pipeline & Meta
This section helps track the candidate through the recruitment process, including:
- Stage
- Status
- Rating
- Tags
- Summary
- Covering Letter
Tags and summary notes can make records easier to search and review later.
Compliance
This section is used to record permissions and legal or regulatory details, such as:
- Consent to Contact
- Consent to Store
- Right to Work in UK
- Visa Status
- Privacy Notes
Complete this section carefully to support internal compliance and data handling requirements.
Data Policy
This section lets you choose the data retention rule that applies to the candidate.
Use the appropriate retention policy to make sure candidate data is handled in line with organisational policy.

Using the job field
The job field helps you link the candidate to an open job.
To use it:
- begin typing the job title
- select the correct job from the suggestions shown
- save the candidate record once the job is selected
If the required job is not available, you can add a new one directly from the page and then continue updating the candidate.
Validation and common input rules
Some fields must be completed before the candidate can be updated successfully.
Typical requirements include:
- First Name
- Last Name
- Email Address
To avoid errors:
- use a valid email format
- enter phone numbers in a clear and consistent format
- keep salary and experience entries consistent with your team’s usual format
- review any on-screen error message and correct the relevant field before trying again
Accessibility and keyboard use
This page can be used with keyboard navigation.
Common actions include:
- moving through fields with Tab and Shift+Tab
- selecting buttons with Enter or Space
- navigating suggestion lists using the keyboard
- closing pop-up selections or overlays using Escape where supported

Troubleshooting
I cannot find the job I want
Try searching with a broader term. If the job is still not listed, add a new one from the page if that option is available.
The update does not save
Check the error message shown on the page, correct the highlighted issue, and try again.
The date format looks unusual
Date entry can vary depending on browser or regional settings. Use the date picker if available, or enter the date in the format shown on screen.
A field value is rejected
Check whether the field is required or whether the format needs correcting, such as email or number entries.
Privacy and governance
Only record candidate information where there is a valid business and legal basis for doing so.
Use the retention policy and compliance fields carefully so that candidate data is stored and managed in line with company rules and data protection requirements.
