Overview

Use this guide when a reference check request has already been sent to a referee, but you now need to remove it and send it again.

If a request has already been sent, that referee will not appear again on the New Reference Check page. When you select the candidate, you may see the message:

“No pending references found for this candidate.”

This usually means the referee already has a sent reference check request linked to that candidate.


Quick start

  1. Check whether the reference check request has already been sent.
  2. Delete the existing request from the correct place:
  • Reference Checks List if the referee has not started the request
  • Candidate Details → Reference Check tab if the request has already started or has been completed
  1. Open the candidate record and change the referee status back to Pending if it still shows Verification Sent
  2. Go back to New Reference Check
  3. Select the candidate again
  4. The referee should now appear in the list so you can send the request again

Why the referee does not appear again

Once a reference check request has been sent, the system treats that referee as no longer pending for that candidate.

Because of this, when you go back to New Reference Check, the referee may not be available to send again. Instead, the page may show:

“No pending references found for this candidate.”

This is expected until the original request is removed and the referee status is returned to Pending.

Delete from Reference Checks List

Use Reference Checks List when the request has been sent but the referee has not yet started the reference.

You can delete the request from there only if it has not been started and not been completed.

This is the quickest option for requests that were sent in error and have not yet been touched by the referee.

Delete from Candidate Details

If the referee has already started the reference check, or the reference check has been completed, you cannot delete it from Reference Checks List.

In that situation, go to:

  • Candidate Details
  • then the Reference Check tab

From there, delete the request.

This is the correct place to remove started or completed reference check requests.

Referee status

When a request is sent, the referee status is usually changed to Verification Sent.

Even after deleting the request, the referee may still not appear on New Reference Check if that status remains unchanged.

To make the referee available again:

  1. Open the candidate record
  2. Go to the candidate’s references
  3. Edit the referee
  4. Change the status from Verification Sent to Pending
  5. Save the change

After that, return to New Reference Check and select the candidate again.

The referee should now appear in the list and can be sent again.


Step-by-step tasks

Resend a request that was sent but not started

  1. Open Reference Checks List
  2. Find the reference check request
  3. Delete the request
  4. Open the candidate record
  5. Go to the candidate references section
  6. Check the referee status
  7. If it shows Verification Sent, change it to Pending
  8. Save the change
  9. Go to New Reference Check
  10. Select the candidate
  11. Send the request again

Resend a request that was already started or completed

  1. Open the candidate record
  2. Go to the Reference Check tab
  3. Find the existing request
  4. Delete the request there
  5. Go to the candidate references section
  6. Edit the referee
  7. Change the status back to Pending
  8. Save the referee
  9. Open New Reference Check
  10. Select the candidate
  11. Send the request again

Important notes

You cannot always delete from the main list

The Reference Checks List only allows deletion when the referee has not started and not completed the request.

If the request has already progressed, use the candidate record instead.

Deleting the request is only part of the process

Removing the request alone may not be enough.

If the referee status still says Verification Sent, the referee may still stay hidden from the New Reference Check page.

Change the status back to Pending

To make the referee available again for a new request, make sure the referee status is changed back to Pending.

This is the key step that allows the referee to appear again when selecting the candidate.


Troubleshooting

I see “No pending references found for this candidate.”

This usually means a request has already been sent for that referee.

Check whether:

  • the original request still exists
  • the request needs to be deleted
  • the referee status is still set to Verification Sent

I cannot delete the request from Reference Checks List

The request may already have been started or completed.

Open the candidate record and delete it from the Reference Check tab instead.

I deleted the request but the referee still does not appear

Open the candidate references section and check the referee status.

If it still says Verification Sent, change it to Pending, save, and then try again from New Reference Check.

I changed the status but still cannot resend

Refresh the page, reopen New Reference Check, and select the candidate again.

If the referee still does not appear, check whether another request still exists for that same referee.


FAQ

Q: Why can I not send the same reference check again?

A: Because the system already has a sent request for that referee, so the referee is no longer treated as pending.

Q: Where should I delete a sent request?

A: Use Reference Checks List only if the referee has not started or completed the request. Otherwise, delete it from Candidate Details → Reference Check.

Q: Can I delete a completed request from Reference Checks List?

A: No. Completed requests must be deleted from the candidate’s Reference Check tab.

Q: What status do I need before I can send the request again?

A: The referee status should be Pending.

Q: Is deleting the request enough on its own?

A: Not always. You may also need to change the referee status from Verification Sent back to Pending.

Q: What should I do after deleting the request and changing the status?

A: Go back to New Reference Check, select the candidate, and the referee should appear again so you can resend the request.
