Edit Subscription License Help
Purpose
Use EditSubscription.aspx to change the number of user licenses for an existing subscription and review any prorated or one-time charges before saving.
At a glance — what you’ll see
- Subscription summary: Number, Business, App, Subscription (plan)
- Controls:
- DropDownListNoOfUsers — select new number of licenses
- Labels showing Additional License Fee, License In Use, Start Date, End Date
- Fee details section (divfeedetails) with net, VAT, total due and billing days/period
- Warnings area (divReducingLicenseWarning) shown if reducing licenses may cause issues
- Action buttons: Save (ButtonRenew) and Reset (ButtonReset)
- Transient messages:
- Top red ErrorPanel for validation/server errors
- Green success panel(s) after a successful renewal/change
- Small toast messages for quick feedback
Before you change licenses
- Review License In Use. You cannot reduce licenses below the number currently assigned/in use.
- Note billing model:
- Pay-as-you-go (PAYG) additional fees may be non-refundable (notice displayed in divfeepaidforpaygnonrefundable)
- Proration: the page shows Billing Days, Net, VAT, and Total Due so you can confirm exact cost for the change
- Expect that adding licenses may take effect immediately and billing may be charged for the pro-rated amount.
Step-by-step: change number of licenses
- Read the subscription summary (Number, Business, App, Subscription).
- Choose the desired number from DropDownListNoOfUsers.
- After selection the page updates the fee details area.
- Confirm fee details in divfeedetails:
- Existing Number of License vs New Number of License
- Billing Period, Billing Days
- Net, VAT, Total Due
- If you see a warning in divReducingLicenseWarning, read it — it explains consequences of reducing licenses (e.g., assigned users exceeding new count).
- Click Save (ButtonRenew) to submit the change.
- If the button is disabled, resolve any validation errors shown in ErrorPanel.
- After Save:
- If successful, you’ll see the success panel with next steps and links (SubscriptionsList, Go To Applications)
- If there’s an error, the ErrorPanel shows the reason
Common messages & what they mean
- “Please select a valid number of users” — no selection or invalid value chosen
- “Cannot reduce below licenses in use” — choose equal or greater number or unassign users first
- “Total Due” shown as zero — change may be effective with no charge (e.g., within promotional period or no pro-rated charge)
- “This is a one-time fee … non-refundable” — PAYG additional user fees are non-refundable once paid
Troubleshooting
Save button remains disabled
- Inspect ErrorPanel for validation messages.
- Ensure your browser allows JavaScript (UI updates depend on postback/AJAX).
Fee details not updating after selecting users
- Re-select the number or trigger a page refresh.
- If persistent, try a different browser or contact support with screenshots.
Reducing licenses but assigned users still exceed new count
- Reassign or remove user licenses from the application before reducing.
- Contact your admin if you cannot change assignments.
Unexpected total or VAT
- Confirm LabelVatRate and business VAT settings; contact finance if calculation seems wrong.
Security & billing notes
- Changes may trigger immediate billing or pro-rated charges; review totals before saving.
- Payments and invoicing are handled by your subscriptions/billing system — keep billing contact details up to date.
Accessibility & keyboard tips
- Use Tab to move between controls; Enter activates focused buttons.
- Warning and fee areas are rendered as readable HTML; use a screen reader to review details.
When to contact support
Contact support if:
- the page shows server errors or fees look incorrect after multiple tries
- you cannot reduce licenses because of system constraints and need manual assistance
