User & Role Management

Give the right people the right access – without losing control over sensitive data.

1

Multi-User Access

Add multiple users to your account so managers, administrators and support staff can all work in the same app without sharing logins.

2

Standardised Roles

Assign predefined roles such as Admin, Standard, Basic, Custom 1 and Custom 2. Each role controls which areas and actions are available to the user.

3

Fine-Grained Permissions

Behind each role is a detailed permission set. You can adjust which sections and operations are allowed, so you can tailor access for different teams while maintaining control and security.

Security, Privacy & Compliance

KNEWTE is designed with safeguarding and regulatory standards in mind – especially for organisations dealing with sensitive candidate and referee information.

Secure Data Storage

Candidate, referee and user data is stored securely, with encryption applied to sensitive fields. Access is controlled via authenticated accounts and roles.

Tokenised Access Links

External users, such as referees, are given secure, token-based links so they can complete forms without needing a full account – reducing friction while keeping control of access.

Complete Audit Trail

Requests, reminders and responses are recorded with clear timestamps. This helps demonstrate due diligence during Ofsted, CQC or internal audits and supports safer recruitment practices.

Inspection-Ready Exports

Export data and reports when you need to provide evidence to regulators, senior leadership or external auditors, without manually compiling separate spreadsheets.

Privacy Controls

Only authorised staff can view or update sensitive information. Role-based access limits who can see candidates, references, forms and billing details.

Consistent Safeguarding Approach

KNEWTE apps follow the same structured and auditable approach, helping teams manage sensitive workflows, controlled access and clear records across the applications they use.

Subscriptions, PAYG & Billing Features

Choose the model that fits your workload – predictable monthly plans or flexible credits that scale up and down.

Monthly Subscriptions

Fixed-price monthly plans include a set number of actions (such as reference checks) plus additional user pricing. Ideal for organisations with steady, predictable usage.

PAYG Credits

Use top-up credit packs when your workload varies. Reference Check uses credits for reference requests. eSignature Requests is available on PAYG and uses 3 credits each time a signature request is sent.

Central Billing View

View all subscriptions, PAYG balances and recent charges in one place. See which apps are active for each business and who is using them.

Transparent Upgrade Paths

Move from trial to paid plans, switch between pricing tiers, or combine subscriptions and PAYG credits without losing your data or configuration.
